CleanVivio LLC ("CleanVivio," "we," "us") provides a bilingual scheduling, invoicing, and client management platform for cleaning businesses (the "Service"). This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. By using the Service or our website, you agree to this policy.
1. Who this policy covers
The Service is used by two groups of people. Business users are cleaning companies, owners, and their team members who sign up for CleanVivio. Clients are the customers of those cleaning businesses, whose details are entered into or collected through the Service. For client information, the cleaning business decides why and how it is used, and CleanVivio processes it on that business's behalf as a service provider.
2. Information we collect
- Account and business information: name, email address, phone number, company name, business address, legal and EIN details you enter during onboarding, and your service pricing and add-on settings.
- Team information: names, contact details, roles, and profile photos of cleaners and staff invited by a business.
- Client and job information: client names, phone numbers, email addresses, service addresses, property details (such as bedrooms, bathrooms, and square footage), entry and gate instructions, pet notes, appointment history, ratings, and reviews.
- Payment information: payments are processed by Stripe and other payment providers. We do not store full card numbers. We receive limited details such as card brand, last four digits, and payment status.
- Identity verification: information used to verify business owner accounts.
- Location information: when a cleaner uses the live dispatch features, the Service may use device location to show job status such as "en route." Location is used for dispatch and job progress, and you can control location permissions in your device settings.
- Messages: content and delivery details of text messages and emails sent through the Service.
- Usage and device information: browser and device type, pages viewed, log data, and cookies or similar technologies.
3. How we use information
- To provide, maintain, and improve the Service, including scheduling, dispatch, invoicing, and payroll and accounting syncs.
- To process payments and prevent fraud.
- To send service messages, such as appointment confirmations, reminders, and job status updates, by email or SMS.
- To provide support, respond to requests, and send important account and product notices.
- To keep the Service secure and comply with legal obligations.
4. Text messaging (SMS) and mobile information
We do not sell, rent, or share mobile phone numbers, text messaging opt-in data, or consent with third parties or affiliates for their marketing or promotional purposes. Information shared with messaging providers is used only to deliver messages on behalf of the sender. See our SMS Terms for how to opt out and get help.
We use Twilio, a third-party messaging provider, to send and deliver text messages. Phone numbers and message content are shared with Twilio only as needed to deliver those messages. Text messages are sent only to people who have given consent, and you can stop them at any time by replying STOP.
5. How we share information
We do not sell personal information. We share information only in these situations:
- Service providers that help us run the Service, including payment processing (Stripe), messaging (Twilio), cloud hosting, and analytics.
- Integrations you enable, such as QuickBooks Online or Gusto, which receive the data needed to perform the sync you request.
- Within your business: information you enter is visible to your team according to the roles and permissions you set. Clients see their own appointments, assigned cleaner details, and related job information.
- Legal and safety: when required by law, or to protect the rights, safety, and security of our users and the Service.
- Business transfers: if CleanVivio is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
6. Cookies
We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. You can control cookies in your browser settings, though some features may not work without them.
7. Data retention
We keep information for as long as your account is active and as needed to provide the Service, meet legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. You can request deletion as described below.
8. Security
We use reasonable administrative, technical, and organizational safeguards to protect information. No system is completely secure, so we cannot guarantee absolute security.
9. Your choices and rights
You can update account information in the Service or by contacting us. Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to object to or limit certain uses. To make a request, email us at the address below. If you are a client of a cleaning business, please contact that business first, since it controls your information; we will help the business respond to your request.
To stop text messages, reply STOP to any message. To stop marketing emails, use the unsubscribe link in the email.
10. Children
The Service is intended for adults and is not directed to children under 18. We do not knowingly collect personal information from children.
11. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you through the Service or by email.
